一、书信的组成部分

1.必备部分

(1)信头

书信中发信人的地址和发信的日期等称为信头。是公司形象的一部分。但是内容也是标准化的。包括公司名称、地址、电话号码、传真、电子邮件和网址等,有的还包括注册商标和公司标志(logo),工商注册号和注册资本。英文地址按照由小往大的顺序写。信头的用途就是使收信人在第一时间看到信发自何处,复信时也便于参考。

有些国家的信头中还包括其他一些细节,如在英国,信头中就印着公司总经理的姓名。

信头的位置:一般缩行式的信头位于中上方,平头式和混合式的信头位于左上方。

(2)日期

日期在商务书信中非常重要,不可或缺。日期不用简略格式,特别是不用容易产生歧义的格式。具体要求如下:

a.年份应完全写出,不能用05代替2005年

b.月份要写英文名称,不能用数字代替。因为英国人遵循日、月、年的顺序而美国人遵循月、日、年的顺序,所以10/2/2004,既可能被理解为2004年10月2日,也可能被理解为2004年2月10日。

c.月份名称可以缩写,太短的词就不要用缩写了。但是一般情况下,写完整的词比较好。

d.日期可以用数字,也可以用序号来表示。

月份和日期之间不用逗号,年份之前用逗号隔开。例如:June

5,2005

日期的位置通常在信头之下,而中文书信的日期一般是在信的末尾签名之后。在书写日期时,注意最好不要用序数词,月份不用缩写。

(3)封内地址(The

Address)

收信人的公司名、地址等一般是列在信笺的左上方,在日期向下2-4行的位置,左对齐,无缩进。书写封内地址主要有以下几个用途:

1.发信时可以与信封的地址相互对照,避免放入信封时发生错误。

2.发信后根据封内地址可以准确归档,便于以后查找。

对收信人而言便利之处有:

1.收信人读信时,如果发现封内地址与信封的名称地址不符,就可知道放入信封时发生了错误,将其退回,从而避免损失,节约时间。

2.收信后,如果信封与信函分离,原信也能够保持完整,便于归档和以后查阅。

中文信函一般没有封内地址,这是与英文信函的一个区别。

a.称呼写在信内地址下面空一或两行处。如果知道收信人的名字,最好称呼他们的头衔或姓,男性称Mr.,如dear

(5)信的正文

这是信的主要部分,表达发信人的意见,注意几点:

1)简明扼要,合乎语法,重点突出

2)分段正确,每段都有一个主题

3)打印无误,布局艺术,力求让读者对书信形式有耳目一新的感觉。

内容部分打印在称谓或主题下面。段落间使用单倍行距,对于特别简短的信,也可采取双倍行距。

信的正文包含三个部分

1.开头语

开头语没有固定的写法,可以简单的说明写信的原因,或是要求,也可以提一下上封信相关的合同或文件,或使用生动的开头引起读者的举趣。开头语一般自成一段,而许多商务信函不用开头语。开头语在写作时要注意简单、明了。只要最简单的开一个头引出下文即可。

例1:我写信要求贵方帮助我们解决公司现在面临的一个非常重要的问题。

例2:很遗憾我们209号自行车没有令您满意,我们尽可能做到让您满意。

2.正文

在写作正文时,如果正文需要两页或者更多页信纸时,应在联页的上端注明收信人的名称、日期、页数,再继续写正文,这是为了避免发信时第一页和第二页以及后面几页误置。除了第一页,其他页不用印有信头的信笺。名称也可以尽量缩写,只要标注它是每封信的第几页就可以。

3.信的结尾

信的结束语可以重复一下刚刚所说的事情,再强调一下重点,或发信人要做,或希望收信人做的事情,也可说些套话。为此在正文结束之后要另起一段。

例如:希望尽快收到您的回音。

信写完后,如果还有补充说明,在信末加P.S.,然后本人签署简笔签名,即只签姓、名的首字母。现在基本不用,因为可在文档中直接修改。

二、打信格式注意事项

注意纸张的选择,选用一些质量较好的纸张;注意页边距;正文的部分要适中;尽量选用激光打印机进行打印;要用文字处理软件中的预览观看效果再打印出来。

打信格式有三种:

1.缩行式:封内地址和其需要分行的地方的后一行,都比前一行缩进两格或三格;正文中每一段开始一行缩进若干格(大约4-6个字母)。(indented

style)

2.平头式:需要分段的地方,即每段的开始一行都与前一行取齐,一律不缩行。隔段之间用双倍行距。

style)

3.混合式:封内地址和称呼用平头式(从左边空白边缘打起),其他部分采用缩行式,两种格式混合采用。(Modified

三、信封的写法

一般都用平头式。其排列顺序与汉语相反,先写姓名。后写地址,地址由小到大。收信人名称地址一般打在信封中间偏左。发信人的地址(return

address)在左上角,邮票应贴于封面的右上角。

信封上面可以附注下列各项:

商务书信的组成部分包含两个:必备部分、可选部分

1.必备部分包括:

(1)信头:书信中发信人的地址和发信的日期,通常是各个外贸公司的信件中已经打印好的部分,体现了公司的形象和公司的个性。不同的国家信头的内容不太一样,但是大致包括公司名称、地址、电话号码、传真、电子邮件和网址等。

(2)日期:

a.年份应完全写出,不能用05代替2005年

b.月份要写英文名称,不能用数字代替。

c.月份名称可以缩写,太短的词就不要用缩写了。但是一般情况下,写完整的词比较好。

再启(Postscript)

在打信时要注意纸张页边距,打印机等这样一些问题,尽量使用好的纸张打印。正文要写在部位适中的地方,要用文字预览处理一下效果,尽量用激光打印机,来最终达到好的效果。

在打信时有三种格式:

缩行式:也是封内地址和其需要分行的地方的后一行都比前一行缩进2—3格,正文中每一段开始一行要缩进4—6格;

平头式:需要分段的地方及每段的开始一行,都与前一行取齐,一律左对齐,无缩进,隔段之间用双倍行距注明;

混合式:封内地址和称呼用平头式,其他部分采用缩行式,两种格式混合采用。

信封的写法和封内地址大致相同,收信人的地址写在信封中间偏左,发信人的地址写在左上方,邮票贴于右上角,在信封上面可附注一些情况,如:说明信的邮寄方式或类别,如果是私人信件可以在信封的左下角注明经办人,以便于快速处理信件。

在转交私人信件时,在公司名称前要加Care

of字样。

托人代信时,通常在代信人的名称前加入Kindness
